Consolidation: trips

A trip is the journey of the transport units: a sea voyage, a road or rail journey, or a flight. It records the mode of transport, the vessel, the vehicle or the aircraft, the calls with their times and cut-offs, and the units on board with their load call, their discharge call and their stowage position.

With those data the application checks the segregation between the units that travel together, the restrictions of the ports and of the vehicle and, by road, the ADR 1.1.3.6 exemption threshold of the whole load, and it issues the documents of the trip: the hazardous materials manifest, the segregation report between units, the exemption report, the trip restriction sheet, the load sheet, the notification to the captain (NOTOC), the consolidated transport document and the load checklist of the vehicle.

The documents of a road journey need only the ADR regulation: an account with the ADR consolidation license alone, without IMDG or IATA, issues them all.

Master shipments are linked to their trip through the Nominated transport movement.

1. Open Consolidation and Transport movements, and press New.
2. On the General Data tab, choose the Mode of Transport —Sea, Rail, Road or Air— and type the No., the Origin and the Destination. By sea choose the Vessel, and by road the Vehicle and, if there is one, the Trailer; vessels and vehicles are created beforehand in Vessels and Vehicles, under Consolidation.
3. Record the Company of the declarant and the Name of the declarant, which several documents of the trip need, and press Save Changes. The origin and the destination become the first two calls.
4. On the Calls tab, add the intermediate calls with New, with their Location and their Sequence, or load them all with Import itinerary.
5. On the Loading tab, tick the units in Available transport units and press Load the selection.
6. Adjust for each unit the Load call, the Discharge call, the Stowage position, On deck and the Loading order, and press Save Changes.
7. Press Check restrictions.

The available units are those already created that are not yet on that trip: if one is missing, create it first in Transport units.

The hazardous materials manifest of IMDG 5.4.3 is the IMO FAL Form 7: what hazardous materials are on board at a call, where each unit is stowed and the emergency schedule (EmS) of each item.

1. Open Consolidation and Transport movements, and edit the voyage.
2. Check in the General Data tab that the Vessel, the Master and the Shipping agent are recorded. The shipping agent can also be recorded on the call, in the Calls tab.
3. Go to the Documents tab and choose the call in Calls and the Variant: on board at departure from the call, on board at arrival at the call, loaded at the call, discharged at the call or departing from the call.
4. Tick Hazardous materials manifest and press Generate.

The manifest shows its version number, so that each issue can be told apart from the previous one.

This report looks at the units that travel together and says which pairs may share a hold or a deck and which ones need separation, with the stowage position of each one.

1. Open Consolidation and Transport movements, and edit the voyage.
2. Go to the Segregation tab and choose the call.
3. Press Check segregation and read the matrix of units and the findings.
4. Press Documents to open the report of that call. It can also be issued from the Documents tab: choose the call, tick On-board segregation report between cargo transport units and press Generate.

A unit without a stowage position appears in amber, as ALLOWED WITH CONDITIONS: the separation cannot be verified without knowing where it goes. The report only exists for voyages by sea.

The exemption report of ADR 1.1.3.6 adds the transport categories of everything loaded and says whether the journey stays below the threshold of 1 000 points, with the breakdown by category and by shipment.

1. Open Consolidation and Transport movements, and edit the road journey.
2. Go to the Threshold tab and choose Transport movement in Transport unit, so that the calculation covers the whole vehicle.
3. Press Recalculate and read the verdict and the points of each category.
4. Go to the Documents tab, tick ADR 1.1.3.6 exemption threshold report and press Generate. The Documents button of the Threshold tab also opens it, together with the trip restriction sheet.

The report requires an up-to-date calculation of the whole transport movement: if the load changes after the calculation, it is not issued until you press Recalculate again.

The restriction sheet gathers what conditions the route: the most restrictive tunnel restriction code of everything loaded, the goods of high consequence and the restrictions of the ports and roads of the journey.

1. Open Consolidation and Transport movements, and edit the journey.
2. Check in the Loading tab that every unit that travels is loaded.
3. Go to the Documents tab.
4. Tick Trip restriction sheet and press Generate.

If the vehicle has no maximum permissible mass recorded, the sheet says so next to the vehicle and applies the portable fire extinguisher requirement of the heaviest vehicles: at least 12 kg of dry powder.

The load sheet of the trip gathers everything that travels together, grouped by consignor and with the totals of packages, gross mass and volume, whatever master shipment each shipment comes from.

1. Open Consolidation and Transport movements, and edit the trip.
2. Check in the General Data tab that the Company of the declarant and the Name of the declarant are recorded.
3. Go to the Documents tab.
4. Tick Consolidation load sheet by consignor and press Generate.

Without the declarant the document is not issued: it is the person who answers for what is declared in it.

The notification to captain (NOTOC) of IATA DGR 9.5.1 tells the crew what hazardous materials are on board, where each package is loaded and what to do if something happens in flight.

1. Open Consolidation and Transport movements, and edit the flight.
2. Check in the On board tab that every unit and every package that travels is loaded.
3. Check in the General Data tab that the Company of the declarant and the Name of the declarant are recorded.
4. Go to the Documents tab.
5. Tick Notification to captain (NOTOC) and press Generate.

Without the declarant the notification is not issued: the declarant appears on it as the person who prepared it. The notification only exists for air transport: in the other modes the application does not offer it.

The consolidated transport document gathers in a single document of ADR 5.4.1 everything that the vehicle and its trailer carry, so that the driver does not have to show one document per shipment.

1. Open Consolidation and Transport movements, and edit the road journey.
2. Check in the General Data tab that the Company of the declarant and the Name of the declarant are recorded.
3. Go to the Threshold tab, choose Transport movement in Transport unit and press Recalculate, so that the mentions of 1.1.3.6 are up to date.
4. Go to the Documents tab.
5. Tick Consolidated transport document of the vehicle (ADR 5.4.1) and press Generate.

The document is only for road transport, and it keeps the mentions of each shipment: limited quantities, empty packagings, technical names and tunnel restriction code.

The load checklist of the vehicle is the checklist in which DGAssistant gathers the checks of every shipment loaded on a road journey, in the variant that the ADR 1.1.3.6 calculation of the whole load of the vehicle and its trailer requires, because the exemption is calculated with everything that the vehicle carries and not shipment by shipment (ADR 1.1.3.6.2).

1. Open Consolidation and Transport movements, and edit the road journey.
2. Go to the Threshold tab, choose Transport movement in Transport unit and press Recalculate, so that the calculation covers the whole vehicle.
3. Go to the Documents tab.
4. Tick Load checklist of the vehicle and press Generate.

The variant follows the load: complete, with the ADR 1.1.3.6 exemption, for limited quantities, for excepted quantities or without hazardous materials. The checklist covers loads in packages; for loads in tanks or in bulk, use the checklist of each shipment. It requires an up-to-date calculation of the whole transport movement: if the load changes after the calculation, it is not issued until you press Recalculate again.

The checklists of the shipments remain available and, when they apply the exemption, recall that it is calculated with the whole load of the vehicle. The checklist needs only the ADR regulation: an account with the ADR consolidation license alone, without IMDG or IATA, issues it.
